About the Society of Jesus:

About the Promotion of a Consistent Culture of Protection programme: 

PCCP is an international programme of the Society of Jesus (‘the Jesuits’) which was established to work with Jesuit leadership in promoting a consistent culture of protection and safety for children and vulnerable adults in all communities, networks and ministries of the Society.  PCCP reports to the Social Justice and Ecology Secretariat of the General Curia of the Society of Jesus in Rome.  PCCP was established in 2018 and since then has baselined the state of protection within the Society, audited the implementation of standards for policies, training and safeguarding protocols and is currently engaged in the development and rollout of an international formation and training programme.

About the role:

The PCCP Administrator is a new position created to support the administrative activities of the PCCP Programme, and the PCCP Co-Ordinator and Assistant Co-Ordinator.   The role reports directly to the  PCCP  Asssistant Co-Ordinator.

The role is initially a  part time  role and located in Dublin or Barcelona. The role requires flexibility in working both in the office, and remotely.   The role is fixed-term for a 3-year period. The roleholder will be communicating with a wide range of stakeholders as part of the global programme.  Minimum travel may be required.

Key responsibilities:

  • Manage and maintain the PCCP team diary
  • Management of all email communication to the PCCP mailbox
  • Attend and minute all PCCP-related meetings
  • Organise and support all PCCP meetings – both online and in-person, including hosting by zoom/MS Teams
  • Organisation of PCCP advisory board meetings
  • Development and booking of travel itineraries, including visa requirements associated with PCCP international travel for regional or conference meetings, conferences, leadership meetings, network meetings etc.
  • Support in managing PCCP social media communications and other communications.
  • Support in Creating/designing powerpoint presentations, spreadsheets, letters, and reports for PCCP
  • Prepare documents/manuals for printing, proof reading and distribute printed materials
  • Creation and maintenance of an online PCCP contacts database
  • Management and refreshment of PCCP content online (web-page)
  • Liaison with third party translators and suppliers
  • Develop and implement office procedures and records systems
  • Management of PCCP’s budget

 Qualifications and Experience:

  • Minimum of 5 years’ experience providing administrative support to senior level
  • Demonstrable ability to use high level functionality of MS Office based IT systems (Word, Excel, Power Point, Outlook) and other communication platforms such as Zoom, MS Teams and Sharepoint. Use of apps that support transcription for on-line meetings.
  • Experience planning, managing and executing meetings and events, including internationally
  • Project management experience desirable, but not essential
  • Fluent written and oral English language essential, fluent written and oral Spanish/French desirable
  • Educated to degree level

 Salary:  Non-profit rates commensurate with experience
